Reducing cost streamlining and making more efficient our AP and Collection system via bank facilities

SUBJECT -  Reducing cost, streamlining and making more efficient our AP
                   and Collection System via Bank Services and System

What:      Adoption and Implementation of CCWS (Corporate Check Writing 
             Services for AP, and Bank Payment Options (Phone, email, mobile
             banking OTC (cum partner entities like  Cebuana)

Objectives:

1.  To reduce expenses for collection for which we have budgeted 5% of TSP
2.  To increase customer satisfaction by giving them more convenient trending
     payment system;
3.  To reduce risk of losing cash:

          1.  from collector agents
          2.  from employee thefts
          3.  from hold ups

4.  To reduce cost and effort in deposit and transport of cash to bank or via
     pick up
5.  To reduce processing time for AP and ICR (as was discussed by the Chief
     Comptroleer Outsourcing)

Background:

This has been subject of topic and presentation by various banks and we seem to be getting nowhere.   Maybe we lacked the will and the manpower to implement this.  

Last Tuesday the Real  MBTC branch led by its Area head Ruben and Real Chief Jared (followed by Rizal Area Head Poly Chan and Angono MBTC head Claire Bermejo) visited this office for marketing visit and sales presentation of this service again

For the Real SL presentation at our side we had Mam Madel, Sir Don and myself listening for HGMP side

The costing for DPU and OTC was still pending which stood at P25.00 (much higher for Lhullier)

Yesterday at Real, to coincide with my Calamba visit, we had follow up meeting with Mr. Jared. with the end in view of implementing this proposal

WTDN next:

1.  Appointment of Sir Don as the project team Leader with Roshel and Frenzie as members

2.  Task of the team:

    1.  Set up procedures and facilities for the project implementation  Hire and 
         train more competent staff

    2.  Establish timelines;  communicate  Say we do this March 15, 2019

    3.  Do a test pilot

    4.  Implement by SBUs first Calamba, then Panga and after 2 mos the SBU
        CCWS iit is suggested that it is a one time implementation

3. Catalyst for migration:

    1.  Payong upon adoption by customers

    2.  Say a  gift check  of P200.00 to the adopters, migrators
