Budgeting Process for Holy Gardens Group

Memorandum:

TO        BPI Accounting

cc:        HR  MLII, blog

Objectives:

1.  To prevent non remittance late remittance of JV share, or funds due to MLII
2.  To ensure liquidity;
3.  To push people at SBI collect near their target

Realiity:

1.  In the past we had to borrow funds to cover PC and even JV sharing;

2.  Lately we had repeat of same cases where we are unable to write checks for JV sharing;  that is a ground for termination of JV and should be avoided at all costs

3.  We saw that the latest budget for CV has been corrupted and funds set aside have been removed, thus causing the problems of late, non remittance.  The budgeting process is not observed

THE BUDGETING PROCESS WAS NOT PROPERLY TURNED OVER? (We should have asked when the dismissed employee applied for a clearance)

We have a memorandum regarding the minimum contents of a budget statement prior to CV approval.

Your attention is hereby called on the budgeting format which has been truncated (the funds set aside)

You were asked to refer to the old budget and you said they could not be found ( I suggest that extreme efforts be made to locate retrieve these files) OR THAT YOUR GOOD OFFICE ORGANIZE YOUR FILES.

You are to reformat your budget accordingly if  I may reconstruct from memory what it should contain:

Beginning Balance

Add:

    1.  Gross collection

     Less:

ME  (compute for % it varies with SBUs)

     PC
     VAT
     Capf

     IF

TOTAL of amounts collectible from Gross Sale

     Less:   other funds set aside:

     1.  Corporate loans payable
     2    Advances from sister SBUs
     3.  JV share (amounts vary with SBUS)

     Total funds set aside

NET AMOUNT AVAILABLE FOR OPERATIONS

FOR STRICT COMPLIANCE.

Please implement for next CVS starting today.  January 6, 2015

Please turn over accordingly in case of change of employer.

LET US BE MORE PROFESSIONAL IN OUR JOB

There is an MC for this.

Memorandum:  To All SBU heads/chiefs

November 21, 2013

Goal:

1.  To develop winners and winning organization;

2.  To be more competitive and organized

3.  To develop the culture of execution and excellent execution

Reality:    Reports are not submitted on time, CMOs do not answer emails and texts, subordinates do not observe FAR in their dealings and communication with the boss, there are abandonments, unfinished work, unfiled missing reports and documents, were are being fined right and left by government agencies for failure to comply.

What to do next:   Review and reminder of our CCD

1.  Classes of offenses:

A  -   First offense:      oral reprimand
            Second offense:  written reprimand
            Third offense:      3 days suspension

            Second offense:  4 days suspension
            Third offense:      dismissal

C      First offense:       5 days suspension

   2. 12  -  Loitering or wasting  time during working hours  (do I see many staff doing non marketing jobs on their personal FB?)    Class C

   2. 15  - Leaving work assignments, project sites, without personally notifying or obtaining permission from immediate supervisor   -  Class C

2.20  -  Obtaining materials and supplies fraudulently or at  a higher cost
knowing that the same can be obtained at a much lower cost....xxx   Class D
(One of our officers in the south was caught in the act...doing this)

2.22  -  Signing approving a transaction where one is not duly authorized to approve such a transaction (such as hiring someone without approval) or purchasing without approved PO)                          Class D

2.29  -  Refusing to follow and obey company orders or to perform assigned tasks (many tasks that have been assigned or not done could fall under this category and many are guilty of this:   submitting weekly reports, DPMS,  reporting interments, posting obits on time, posting of FOFF,  )   Class D

2.30  - Refusing work assignments  - D (either openly or silently disobeying)

   2. 25  - Neglecting to follow company orders or assigned work  -  Class D.

2.41  - Failure to account for cash advances     -  Class D.

2.43  -  Failure to finish/submit assigned work, project on agreed time  - Class C (all ready especially at 3ffb, many would have to be removed for this sin);  TPM cards, dent reports, Kaizen report and 5 best pictures for Holy Gardens community blog due every Saturday;   weekly CMOs hard copy reports every Saturday afternoon

2.44  -  Failure to  submit /finish work as per standards -  Class C  ( 5 sets of pictures of Holy Gardens group,  6 items to be reported for weekly Kaizen report.

We can be better right?  Than our competitor?  Compared to our behavior before?

Subject:  Communications

Date:   October 11, 2013

Communication, I would like to repeat means:

A COMMUNITY

UNITY

ONENESS

THAT IS BOTH A GOAL AND A PROCESS

However we are nowhere near that as:

1.  Blogs are not visited/nor commented to

2.  Emails are not answered responded to.

These are both the positive and negative rewards connected to communication:

1.  Positive:  inclusion as one of the points in performance evaluation for promotions

2.  Negative:   for CCD initially subject as Class B offense for first offense and C and D.  C and D limits ones qualification for rewards.

Oton and Calupan habitually neglect this communication business.

Only if we are 100% capacitated to communicate can we hope to achieve growth and progress.

WHAT TO DO NEXT:

Let us communicate well.
Let communicate better

Let us answer all emails, including blog notifications.
Let us make communication a good and daily habit.

For strict compliance and execution
