1.   We yet have to see 100% communication happening much less a strong community:

      1. Text messages not read nor replied to,same with emails and blogs;   the requirements to post
           at Kaizen, free obits, tribute archives not being done

     2.  Information being misinterpreted or distorted thus resulting in negative behavior

     3.  Deviants and enemies from within

Greek       koinonia 

Mentioned several times in the Gospel NT, means

           fellowship, sharing, contribution, gift, joint participation

French:     commis, cominion

           fellowship, mutual participation, with, together continuous social interaction, internal
           affinity, likeness, intimate relationship

Our common understanding about communication and community are:

       1.  Having an id or uniform (which we do not have)

       2.  Stimulus response, or reading (or not even reading)

       3.  Our own affinity with one another without regard to the WE..

Organizational Chart

The organizational chart represents the lines of authority and communication in the organization and defines the responsibility of each one. Who reports to who and who is responsible or direct reports of another

The  types are:  flat, hierarchical and matrix   Organizational Chart

This conforms to the principle of Management of Henry Fayol, unity of command.

The uses of organizational chart.  

Its main use  is defining the lines of communication.  Here are the main uses.










  • Organizational and supervisory communication,  such as helping employees know who reports to whom, or helping people get to know each other across the organization. Adding employee photos can help a lot, allow people to connect faces and names.
  • Restructuring, such as switching roles in a team to better utilize everyone's talents.
  • Workforce planning, such as figuring out the details of a new hiring initiative.
  • Resource planning, such as reducing inefficiencies by rearranging roles.
  • Genealogy, because a family tree is really just a type of Org Chart. You can include photos, dates of birth and death and links to other information about each person.

Reminder on unread blog posts and emails

This is an unending campaign for every one develop discipline in communications.  If there is none, failure is just around the corner.

This is a call FOR PROFESSIONALISM. Those who who work in an organizaiton and connected world:  answer their tablets, laptops, latops where they see emails,read and answer them.  They are obliged and it is their duty otherwise we disconnect or unplug.

If you fail to read a memo on email, and make mistakes (and many do) or fail to improve because of this negligence, it is your look out and misfortune.  In our Performance Evaluation, communication is 10%


This post constantly reminds every one  up and down the organization to read and update themselves on our communication

Improvement on our faithfulness to Corporate Vision, Mission, Beliefs and Principles

Goal:    1.  To be the best, to do the best, and be best always
             2.  Continuous learning and improvement

Reality:

      This office does numerous posts and emails the same to offices to improve our staff, our customer service, and performance of our duties;   however, I observed:

1.  That posts are not being read, most of them are zero;

2.  Interviewed several people/staff and was extremely disappointed on the posts made;   they were not read, nor was there even an initial understanding:

     1.  Beliefs and principles:   two new trainees were not able to answer well;

     2.  Controllers were not able to answer:

         Installment sale, cash sale and other chart of accounts item for memorial park;

        IMP chart of accounts/accounting

1.  Let us change our reading habits of emails and website of Holy Gardens Community

KNOWLEDGE IS POWER;  WITHOUT KNOWLEDGE WE WILL BE MEDIOCRE AND 4TH RATE COMPANY.   We are in the internet age, and we have provided the tools/resources for learning.  Unfortunately, our mindset, and complacency prevent us from learning and being successful.  

WE ARE HERE TO LEARN AND SUCCEED.  There are no other options.

Improvement in communication at 3ffb is paramount

We had a communication exercise, a playback of that conducted for sbu and 3ffb.  It is a relay game:  the message is delivered verbally on a relay. No notes are allowed

The message read:

"  May interment, si Jose Calderon on April 10 at 9 am.  He is to be buried at Lot #523 at Serenity block 12.  He is survived by his wife Josefina Ceres. and 5 children:   3 boys and 2 girls.

Jose hails from Narvacan Ilocos Norte.  Their current residence is at San Andres Cainta Rizal

The lot to be used is owned by Carlos Vitangcol

The message was repeated twice to Aileen of MLII

This was the message that was fedback:

There will be an interment on April 10 at 9 am of Jose Calderon at lot 235 Serenity.

The lot is owned by Carlos Vitangcol"
Of the 11 information mentined in the orginal transmission, only 3 were relayed correctly

What is your opinion comment on the 3ffb result of communication exercise

Visit to Holy Gardens Pangasina last April 5, 2

Last Friday was the last day of AGSB Clark teaching.  The following day, April 5 2014, I found time to visit the SBU although that meant dragging a heavy package (gift from Clark AGSB students)  I inspected the chapel for which two weeks ago, we bought the FFE for chapel use.

My small comment were on:

1.  The grass, (there were wildweeds at the plant box)

2.  The toilet bowl needed cleaning

3.  The pail,  tabo, the faucet needed cleaning

4.  The drive way had plenty of paint droppings and dirt and needed cleaning

5  Do not park anymore the crosswind on the tiles that have been installed

God is in the details.  Get the details right.  A quality Park will draw in more buyers

The big comment:  the park does not seem to be getting enough water. Please contact Engr. Castillo

There seems to be problem with IF that seems to be unresolved.  Professionalism and communication seems to be unresolved after a series of meeting between 3ffb and SBUs???!

Team building and communication exercises for CMOs conference.

                                    Relaying information at Gogo girl team

We had team building exercises with 3ffb and SBUs chiefs today at Unamonte.   Cindy was absent and epr was late;   jus was slightly late.  Everybody was there.

Near PTT and old building two groups were formed.  One was called Giant, and the other was Gogo Girls. Election of a  team leader, a communicator, and name for the group was ordered.   Cynthia was group leader for Gogo Girl,  communicator was Brenn.  The Giant group had Fermin as the leader, communicator was Aprilyn,

At Unamonte, there were 3 exercises made:

1.   Transferring of message on teambuilding and communication and 3 secrets of health.  This was almost flawless

2.  Instruction on what to do during exercise.   (Shout team name upon saying the word commence;  shout team name 2x after last number of rep)

3.  Communication relay on interment data.  The communicator records the initial data relayed by SMD to the newbies:    Rica Joy and Suzette.  The results were funny.

The original message:

"There will be an interment on March 15, 2014.  The deceased is Jose Candon, taga Virac Catanduanes, 57 yo residing at  Vitas Tondo.  He is marrie d to Carmina Feliciano who is from Abra Bangued;  there are 5 survivors.  He is to be interred at Lawn 6 Block 4, 7 ft. DLX service with tribute.  The authorized representative is Juanito de Asis.

Gogo girls communicator report:

"Meron interment sa March 17, 2014. Ang ililibing ay si Jose Candon.57 yo taga Birac Tondo.  Ang asawa niya ay si Carmela Andon.  Taga Valenzuela.   Ang loteng gagamitin ay lote ni Jose.   7ft at merong tribute."

Giant

"Meron libing tayo sa March 15, 2014.  Ang ililibing ay si Jose Candon 57 years old taga Tondo Manila asawa ay si Carmencita Candon ililibing sa Lawn 6 Blcak B Lot 7,  /de Luxe interment package. May limang surviving heirs.

Some have been very consistent in:

1.  Not replying to text messages

2.  Not replying  to email.

3.  Posting at Kaizen report and Holy Gardens group weekly best pictures


Just for the first two months many have incurred zero scores all ready

Communication, I would like to repeat means:

A COMMUNITY

ONENESS

THAT IS BOTH A GOAL AND A PROCESS

However we are nowhere near that as:

1.  Blogs are not visited/nor commented to

2.  Emails are not answered responded to.

These are both the positive and negative rewards connected to communication:

1.  Positive:  inclusion as one of the points in performance evaluation for promotions

2.  Negative:   for CCD initially subject as Class B offense for first offense and C and D.  C and D limits ones qualification for rewards.

Oton and Calupan habitually neglect this communication business.

Only if we are 100% capacitated to communicate can we hope to achieve growth and progress.

We recently had a memo that on am talk, your sbu is enjoined to read at least one blog post article, read this, discuss, learn and reflect on the article.

This is not happening now.  

Your office is enjoined to comply and execute this; this will be taken against you in your performance evaluation.  (including the person who does not comply - your staff)

We have to:

l.  Sharpen and bring our communication up to 100%

I.  WHAT: (To adapt UNISUN Career Path)
This memorandum defines career path of all staff, from entry level staff up to top management.  This break down the type of skills to be acquired for each position to enable everyone to know exactly what is needed to be learned for a job and how to rise through the corporate ladder.

Under this Memo, frequent regular job rotation especially at Supervisory Level is encouraged.

II. OBJECTIVES:
1.       Zero vacancies;
2.       To achieve 30% promotables of total staff;
3.       To define all skills necessary for each position, salary grade function;
4.       To strengthen key competencies;
5.       To breed a group of expatriates and flexible management staff

III.  APPROVAL OF PROMOTIONS:

A.      ENTRY LEVEL  is based on Performance Evaluation every three (3) months of a trainee up to permanency (2 PEs) and every six (6) months thereafter;
-          It is the duty of the Supervisor to initiate a periodic performance evaluation based on the above;
-          The Entry Level evaluation is done on a matrix basis: By the SBU Head & Central Management
-          The PE is validated by an oral revalida preferably by a panel

                        b. Technical Skill Exams (Hands-On)    – 10%
          Performance vs. target                                                      = 60%
                        a. Execution of plans                           – 15%

          Attitude                                                                              = 20%
                        a. Obedience                                      – 6%

MINIMUM GRADE TO BE PROMOTED:  90%

B.     KNOWLEDGE BASED PROMOTION
a.      MBA degree                                        -           Two (2) Salary Level
b.      40 book reports                                   -           One (1) Salary Level
c.      Attending 100 hours outside seminars  -           One (1) Salary Level
d.      Attending 200 hours inside seminars    -           One (1) Salary Level

The promotion will be based on the submission of the following:

4.       Professional Licensure (CPA, Engineering)      -           ID Card issued by PRC;
5.       Job Rotation                            -           Job Rotation Memo

C. SKILL BASED PROMOTION
1. Business Plan and Corporate Plan;
2. Systems and Procedures (SDCA);
3. Software & Program;
4. BPI/BPO Plan;
5. Special Skills like electrical, welding, vehicle repair and trouble shooting, Excel & 
    Adobe Photoshop Proficiency.
6. Writing a book;
7. Five (5) Training Module (either in MS Word form or MS Powerpoint)

The promotion shall be given based on the complete documentation of the concept, the process, the inputs, the catalysts, the environment, the human aid and the implementation, which shall be proven effective and workable;

The rate of increases shall be based on the level of skill and not on the salary level of the encumbent (e.g.  Entry level shall only merit P500.00 increase, the technical skill shall merit P1,000.00 increase, and the managerial skills shall merit P2,000.00 increase)

NB: The candidate must be proficient both in Theory – Academically (in exams) and in Practical – Execution & Production of Results.
