Clarification on GIVING CUSTODY OF PPA forms to HGGMP sellers

It has been unfortunate that we were on two occasion unable to conduct a telecon on the above subjecting matter

What:    Clear Directions Guidelines on PPA to be given to HGGMP

Objectives:

1.  To still gain the motivation and desire of sellers at HGGMP to sell for the bangin expansion and help us achieve our sales objective;

2.  To lessen loss and risks (as with the case of TM) and multiple of cases of double sales.

3.  To make clear to every one the legality and other protocol involved in document processing (sales admin) to make it presentable, and reliable

Background:

1.  In many years of being business we follow the legal way of accomplishing a document:   

     a.  Signed at the office; witnessed by our employees, the buyers properly identified;  The notary will not notarize documents that were not witnessed personally by the customer

        WE ALSO PRECLUDE HAVING FICTITIOUS ACCOUNTS/signatories

        We avoid having void documents for being improperly filled up or signed

    b. Typewritten and presentable

    c.  We are in control of documents

    As with say  lenders:

    1.  The PN and loan agreements are in the office;

    2..  The documents are signed at the office.

    It is presumed that there was never case final loan agreements and PN signed elsewhere

2.  Up to 2015 Hataw, the practice in Calamba has been to bring the customers to the office.

3.  It is only in 2017 March where the clamor for having PPA forms being advanced to the sellers.

4.  As a result of this, 99 PPA forms are still outstanding and uncollected; and we have to invalidate all of them.  Now we have to publish the erring sellers

5.  The practice is true only for HGGMP;  all other SBU follow our  protocol

6.  As a result of this most errors happen in HGGMP:

     a.  Double sales,

     b.  Contract drawn up but no remittance being made

     c.  Ugly contracts with erasures, wrong figures, unsigned documents

     d. Lengthy processing

   THIS WAS FOUND OUT BY THE UNDERSIGNED AS HE SIGNED THE PPA

7.  As a resolution to solve this problem:

    1.  We decided to have dummy PPA filled up to be later typed and printed legibly so that the PPA, a legal document, a policy will look presentable

   2.  The PPA will be printe/TYPED d and done at the office (and not at the house of the customers or elsewhere

   3.  Since the blue copy is unclear hardly legible, even if it is carbonized, we ordered that the same be  done with a carbon paper.  The carbon copy is the 3fjm copy and to be used as reference when making CO DOS


     These are contained in emails and power point sent on the same subject matter.

     The current RA has her own ppt which clearly spells out the above.

8.  However, as per text messages and telecon, this does not sit well with the agents:

    a.  Di na raw motivated;

    b.  Double work daw;

    c.  Misunderstanding arise.

9.  As of now, we even have a bigger problem:  we are unable to get the approval of alteration of plans from City Hall in time for October launch.  If we are caught,, penalty is P10,000 per plots sold.

OPTIONS:

1.  Agree to the sending of 1,500 ppa

2.  Have a compromise:

     a. Fill up an.  Papirmahan dummy sheet at MB life application form
     b.  Tanggapin bayad;
     c.  Itype ang PPA
     d. Honor the sale, include  in the sales report:  the basis are the OR and signed dummy sheet
     e.  The PPA will be signed in the next amortization

3.  Have a new set of forms printed in view of the delay,  OFFER TO PURCHASE (Since we do not have an approved development permit pa, nor a license to sell)

     The top of PPA without the logo will contain this paragraph:

     Upon my request, please allow me to reserve buy  the plots the  proposed expansion of Holy Gardens with the following details, as listed herein for investment, purposes (not for immediate use)

    I hereby waive my rights under the existing law in making this offer to purchase

   (The forms shall not contain any logo)  The officers will not sign;  only initial of the CMO  (for Panga and Calamba only)

Implementation of Insurance: filling up of application forms collection of the premium andremittance

Objectives:

1.   To implement the insurance coverage for the Hataw accounts

2.  To collect and remit the premiums
  
3.  Provide peace of mind and security to the buyers of our products;

4. To keep our word to the customers

Reality:

Nothings moving.  We conducted a series of meeting with MB Life, asked for forms, hired additional people moved into a new office.  We trained people  And we have not insured any one yet.

This is very embarrassing not to mention that we are at great risk in case someone meets accident

Options:

1.  Be the way we are;  We will shoulder the risk

2.  Move now.  Wendy Lirio shall do the PDCA for this project not later than June 21, 2017

We back track beginning June 15 for both GYRT and Personal Accident until we cover up to May 1, 2017.  Then we back track to March 1, 2017

1.  Begin with PA.  List down all:

    1.  employees who are two years or more with the company;

    2.  those who paid in cash from May 1 to June 15 

    3.   those who bought plots form us from May 1 to June 15.

2.  Send the application form to the SBUs for the period mentioned.

    1. Collect the forms

    2.  Remit the 4% deduction for the insurance

    3. MLII will collect

    4.  MLII will pay by remitting the amount to MB life via CBS at the ground floor

    5.  Mail send the policies to the plan/plot holder.  ASAP

3.  WL will handle this as we hire another AA for funds, and an insurance assistant WL will handle the loan accounts at AM and insurance in the PM until the replacement regular is hired

Great lack of communications and misunderstanding of a leading SBU in hataw; we had to restart

Fourteen days into the Hataw pa more, we found extreme difficulties regarding the understanding and implementation of hataw:

1.  Documents -  the current SFC gives away pads of PPA and then others do not get PPA which they need to close sales.  Our instructions were to give only one and maximum of 5 to sellers to be close a sale, those in excess must be accounted for and returned.  The PPA is an accountable form This is not followed in this SBU. While the rest have excess PPA, the others were running short

2.  The computation of commission.  The outright com is only 10% of the NLP to be amortized in 10 months,   The controller is paying 17%  despite the instruction, that the balance of 7% shall be paid in check.  Not much cash is left if we pay the 17%. The SFC insist that the senior employee was the one telling her that it is 17%.  She was sent e mail and talked to in length that it is only 10%  (We were told the comptroller for the JV sent her own version of the 17% )

The agents are threatening to boycott us if we revert ot 10%   We have one over them by halting the sales of hataw until we fix these problems including the submission of documents which is not happening.  With much regrets

Some important notes on the Hataw campaign

Do:

1.  Emphasize the benefits and advantage of the hataw:

     1.  Very affordable.  For the selected plots the monthly payments range from a low of P500.00 to only P800.00 a month.

          Our old price list lists down 5 digits for the dp and  4 digits for the monthly.

    2.  A lot of savings with the zero interest and low low special price.

        For instance, in Calapan, the savings is:

        1.  On the lot price  -   P7,000 (our regular price is P37,000

        2.  On the interest   -     10,000.  (25% on the balance by May 1)

        Come May, there will be no more special lots for sale,  However all other plots will be sold at 60 months to pay, with 25% per cent on the balance

   3.  With insurance protection:

      1. With ADD -  double the benefits in case of accidental death.  The insurance will pay 2x the TLP say P30,000 to P60,000 if the plot buyer dies from vehicular  accident, drowning, falls  electrocution, choking and the like.  

     2. Disability benefit in case of total loss of limbs and eyes; 100% of amortization deemed paid.     50% of amortization deemed paid if there is loss of one limb or eye.

    3.  For natural death, amortization deemed paid in case the buyer is of insurable age, no pre existing condition, not engaged in hazardous work or hobby, and account is not in arrears.     The principal payments are returned too to the beneficiary.

2.   Sell to friends, neighbors, to relatives of agents and other people you know because this is a rare offer and opportunity

3.  We are running out of inventories;   as in Oton, La Union, and Calamba.  We have to think soon of expanding.    In Calamba, the sales directors are quarrelling over only 800 special plots for sale


4.  Be prepared when ever we have this event:   PDCA, requirements for motorcade, brochures, leaflets and fliers.  

5. Do post in your social media accounts tweeter, FB to promote this promo.  Blast email and blast text.

6.  Emphasize the high commission rate up to 17% for sales director.  However do emphasize that the outright is only 10% ( of the tlp) and the balance (the 4 or 7% shall be in the form of check.)  Our accounting is now headed by a professional chief accountant, who will make sure that the checks keep on coming.

7.  Only Sellers are allowed to take commissions.   The office staff can only win prizes if they meet 100% of the target.  Take note of the qualifiers:   R2, 97% attendance, no Class C and D offenses.

The only outright com that was allowed was for PMS up to 4% of the NPP available to CSS and CMO and ACMO until March

8.  If there is a walk in or other office sales, place none at PPA sales executive line.

9.  If we want to sell, the seller must bring blank PPA for signature.  Take the signature first and the cash later.

10.  Do emphasize regular and prompt payment by the customer.  If the account becomes in arrears, the zero interest is lost and  1% interest and 4% penalty is charged. 

11.  Be positive and be a money magnet

12.  For clarification


      All regular priced plots are for sale at zero interest, 60 months to pay, 60 + 6 in case MA is more than Php 600.00

     Even if the regular priced plots are sold like prime for lawn, SSN, GE, their outright rate is still 10%;  still 10 14, 17%

13.  Processing time for docs is 7 days;   pouch more times if you have to meet this timeline.

14.  Read the blog posts emails, and ppt. 

15.  Allow recruits only if they have SEAD are duly accredited and trained.  Nag 
exam.

16.  COMPLY WITH OUR REQUIREMENTS TO BE IN THIS CAMPAIGN:

      1. Submit a marketing plan with clear targets for the SBU

          1.  Sales director
          2. Strategies
          3.  4 p's action plans

     2.  Inventories of plots for special plots for sale

     3.  Updated SEAD of the Sellers

    4.  Compliance with the required procedure:

          1.  Completion of PPA, having this signed, and filled up fully and correctly

         2.  Checking the PPA for defects and errors, avoid erasures

         3. Initial by CSS and the CMO

         4.  Give the yellow copy to the customer

         5.  Make ledger and post the payment

         6.  Submit the abstract;   make the deposit slips

        7.  Pouch the documents to the 3ffb promptly

     At 3ffb:

       1.  Receive the docs,   file the transmittal

      2.  Inspect the docs;   date stamp, check for completion and compliance

      3.  Accounting makes the ledger; initials the PPA

      4.   Docs has the PPA signed by authorized officer

     5.  Sales Admin Assistant:

           1.  Issues ID

          2.  Does the data base file with picture, signature, thumbmark




     WHEN ARE THE SBUs submitting;  (remember if you do not submit, you cant claim your prize) ?  For once let us understand compliance and DUTY OF OBEDIENCE

Dont:

1.  Quarrel or raise your voice vs customer;

2.  Deny the customer the privilege of using CR

3.  Fight this promo by using other people to be negative about this.

4.  Misunderstand our ppt, blog posts and emails

5.  Recruit troublesome or unpleasant negative individuals, or who are crooks

We we approached by Metrobank early this  morning, as they were charged P50.00 per deposit slip made by SBUS of capf and other accounts due MLII, by depositing direct into their accounts.  Pay attention to this memo as this is a very embarrassing incident, and does not speak well of the intelligence and understanding of the people who made the mistake:

The use of abstracts in managing the memorial business

Objectives:

1.  To save on administrative expenses, huge salaries and overhead for huge accounting and clerical staff to manage data base and report.  Only encoders and auditors (checkers) will and can do the job;

2.  To simplify processes, and make it easy to obtain reports 

3.  To easily detect frauds (such portals will not accept entries if there is lapping or missing OR)

4. To remove mistakes that has befallen other MP companies that closed shop because of huge admin expenses due to use of manual procedures

Background:

In a study of various huge memorial plan companies that closed shops their difficulties were:

1.  Delayed issuance of documents to buyers because of centralized processing.  When hundred or so branches send data for documents issuance, the Central Office were deluged with huge quantities of data.  Their solution was to decentralize and have branches originate documents.

2.  The head office did not computerize.  They utilized huge staff for accounting processes and data base management which were often in disarray (just like at our 3ffb).  This took place despite the fact that we are all ready in the age of smartphones  (we are in the internet age since 1988)

3.  Since they were hiring accounting grads and accountants, the overhead was huge.  (I have seen such a health plan company employing 20 accountants and 10 ae doing nothing between the first to 29th of the month.  What a waste)

4.  Our JV in Calamba sharing is always delayed because they use only excel and there are variation on many figures sent because the JV partner comptroller exercise various policies in the sharing, as in ME;  under the abstract, reports can be demanded anytime.  Formulas for the computation are all ready built in the abstract:

We benchmark St Peter: 

1.  They use a very simplified system of contract, issues id and  COPF fast especially for cash sales.

2.  Single source document

3.  Every T and C contained at the back of the document;

4  Few signatures required.

Benefits are:

1.  Lower cost due to less skilled labor required;

2.  Faster processing;

3.  Convenient reporting.  The abstracts can be asked for report anytime. Say for PPA:  It can generate:

         Sales report
         Collection report
         JV sharing

For interment portal:

       Database of interment for the month;

       Total revenue

       Total reimbursement

        IF pnl  (no more danger of losing the IF reimbursement because we have a soft copy file)

4.  Most of the data can be inputted into the system does saving a lot of files and paper work:  For instance in the PPA, a single entry can generate collection report, sales report, ledgers, . and can save on various paperworks:   CRM database,   CAPF application form,   proof of explanation, signature card and fingerprints

5. Happier and more satisfied customers because they can get their contracts at once, their ID, and COPF

Options:

1.  Do nothing which will result in more backlog, more difficulty and more hiring

2.  Use consultants and hire experts from outside which will be costly

3.  Adopt the abstract system

Action plan:

1.   Engage an IT contractor to make the abstracts (the four sets)  We have engaged Mr. Cesar Lim to do the abstracts (P5@) x 5 x 4 sets  = P100,000.  He agreed to sell for only P80,000

2.  Install the system per sbu;  install dropbox for file sharing.  Only 3 sbu have installed and we still lack the ID and COPF issuance and  printing capability.  It is expected that Panga and La Union will have their installation soon.    Priority for installation are iMP portal and the interment portal which this office expects t be finished in March.  The imp and the PPA platforms will support the "Hataw sa Tag Araw campaign."

3.  Purchase individual computers dedicated for abstract -  only Calamba and Calapan have done this.  3ffb, Panga, La Union, Oton, have not done this.

4.  Hire personnel.  This is being done in 3ffb where there are 2 encoder candidates.   Oton, Panga, Calamba Lump must hire additional encoders, 

5.  Documentation and training (April)  

6.  Completion of the installation of CMS (only Calamba and Panga) by April

Early and Complete submission of PPA

As I sign the PPA today, January 10 2015, noted the following:

1.  There were at least 3 PPAs that had blank pages at the top further contributing to delays.   The SAA filled up the blanks which is contrary to normal practice.   You, assisting the customer, or the customer themselves, must complete the data on the blanks/spaces provided.

2.  The Undas docs (October 30 to November 2) are only being signed today which is about 2 months delay.  The standard for delivery of docs to customers is 7 calendar days upon full payment or full down

3.  There are also some inconsistency with regards of signature of spouses. Some have, some dont have.

What to do next?  What must CMO do to ensure the standards for documents?

Hand in hand (companion) with the new PPA is a an improved  Daily Abstract portal which is used to encode the daily transaction.  This too hall be  the platform too once we have the memorial plan:

Follow up on incentives of SBU and agencies/sales execs

Nearly one month has passed and we have not the paid the incentives yet.  In understand the SBU are not ready with the signed. PPA (even under old form). We need those, in addition to the sales report and the summary for each sbu/se for us to to make the CV and the check.

There is no way that the signatories will sign the checks.

Let us cooperate and hasten the pace. (bilisan)

1.  New Price List:

    We are increasing our prices, effective as of today, and as previously announced from 3 to 5 per cent in SBU with high TLP and 7 to 10  per cent in SBU whose TLP are very low.  This was our come on why we had the promo last October 30 to November 2, 2014.  

    We have directed Ms. Cartago to publish the new price list

2  New PPA form and system

    1.  We  have directed the Marketing Coordinator to simplify the PPA and the CRM, terms and condition CAPF in one page.and to include logo type

    2.  All the problems and questions that come up frequently, including transfers, assignments inheritance are to be incorporated in the terms and condition.

        The new PPA shall contain a tearable provisional receipt to accept reservation, down payment or even full payment to speed up transaction

        The 3ffb shall issue ID's as benchmarking the SPLP;  we will make sure that we will graduate into credit card type ID and eventually have a rewards system installed;

       Using access, or a website, all data in SBU will be captured at 3ffb:

       1. Customer data base especially birthday, wedding anniversaries and death anniversary of the deceased;

       2.  Documents issued and files

       3.  Updating of lot masterlist.

       3.  The PPA shall be decentralized.   The SBU shall have much say in the PPA completion.  All that remains, after due diligence  by SBU and the 3ffb  is to validate the document with the Pres of SMD  signature at the back of the PPA

       Processing fee shall be reduced from P600.00 to 300.00  PPA and COP need  not to be notarized.  

       4  Upon full payment, the 3ffb central shall issue:

      1.Certificate of Ownership and Payment with the Deed Of Sale at the back, provision for Deed of Assignment shall be incorporated  in the form which shall be

      2.  Continuous form

      Again, the encoding of the COP shall have capture of record of CO issued.

The records of the  SBU for the COP issued shall likewise be updated 

       5.  The personnel handling this shall have job title of Sales Administration Assistant who could simply be proficient in computer and IT.

       6.  Investments are to be made in systems upgrade, computer, computer network and constant upgrade are to be made

3.  Streamlining CAPF and CGLI

    To finally get the CAPF going and accumulate the much needed funds, and to attract buyers: (the procedures are simplified and made bullet proof without much decision making left to deciding on items that have obstructed the implementation of the CAPF.

    1.  The 3% CAPF shall be added on in the new price list (or if they are incorporated there is no further need.  The 3% shall be based on latest TLP

    2.  The 3 % shall be collected from all accounts payments and remitted to MLII whether cash, one year to pay etc. 

    3.  Upon answering the questionnaire, the CMO can declare the buyer to be insureable depending on the answer to the questionnaire:

         1.  If he or she is beyond the age 60, or below 18;

         2.  with pre existing conditions;

         3.  job or hobbies are risky like skydiving, skiing, race car driving, scuba, handling explosives, soldier, medical or health worker, 

    4. Contestable period is one year.

    5.  CAPF application forms are not needed anymore, however, MLII shall keep records of accounts from whence the funds are collected.

Streamlined PPA, CAPF form, and CRM

What:

As per our conversation yesterday, kindly have the following study made on our forms (PPA).  There will be revision and the record keeping typing will be decentralized with data capture, and central archiving of copies of documents:

OUr benchmark is  SPLP application form and terms and condition, with ID and Certificate of Payment that I showed you.
