Subject:                 Standards and Procedure of Documents (Addendum, PPA, OTP)


This letter is to request your office to follow the standards and procedure for our documents so that we will avoid the delays of processing the documents.


It was observed that the Addendum you sent in 3FJM office do not conform to our standards.
1.       The witness portion is blank, without signature of the staff (Signature over Completed Printed Name).
2.       The incumbent ACMO does not have initials at the back of the documents
3.       The blue copy  information is not clear.
4.       There  are purchaser of the PIS does not have an existing lots in Holy Gardens Greenhills Memorial              Park. contrary to policy and orders
5.       The transmittal should be the sales report


As a Sales Admin Assistant, we are requiring your office to follow our standards and procedures for the documents. To make the processing of PPA efficient we should follow the procedures. It will help us also to delight our customer by giving them on time the documents with a nice appearance. And will also help us to encourage our customer to continue patronage our products.
