Countermeasures to lessen and prevent theft and losses at the SBU due to cash losses, and inventories

What:    To remind everyone and impose robust procedures to prevent losses as in Pangasinan and Calamba

Objectives:

     1.  To lessen incidence of thefts and embezzlement

     2.  To promote high morale and operating efficiency

    3. To reach our sales objectives by focussing on legal and moral ways to earn money

   Reality:;

  1. Scandal in pangasinan:

      1.  Resale of forfeited lots;

      2.  No office sales

      3.  Dagit ng sales on Sellers in office office sales

      4.  Qualified theft by CSS in Pangasinan

      5.  Widespread conspiracy  and crookedness by former staff and sellers

  2.  Scandal in Calamba:

   WTDN   

   Countermeasures:

   Long term:

     1.  Hiring:

          1.  Tighter filtering

          2.  Checking references and BI

          3.  Bonding and suretyship of those who will be handling money

    2.  Training and supervision:

        1.  Tight supervision and training;   tanggalin ang mga hindi matuto

        2.   Rotation on the job;; temporary transfers

        3.  Strict imposition of CCD CMO must and 3f must check tigthly and regularly:  pati GM must dligently monitor the wrong doings:  sins of omission
 and commision

             1.  Text reports

             2.  OR, Deposit slips, COH  (hindi ito ginawa ng TA at 3f)

                 Susugurin ang SBU na may failure to text report or abstract -
                 impose CCD

      4.  Prosecuting and sending to jail:  MA, and  Bonifacio.  

      5. Investigation by our lawyer if need be;  or even NBI or the security agency


   3.  Red flags:for CCD

       1.  Frequent absences and tardiness

       2.  Late or non reporting daily on cut offs

          And so with text reports to this office

      3.  Agents standby in the office

      4.  Accepting gifts or going out with agents

4.  Operations and sales policies:

    Sales policies:

    1.  Under threat of CCD and blacklisting, sellers can not stay in the office 
         and grab or poach office sales.

    2.     For funeral service they must comply with 3 conditions to be entitled to
        to commission:

        1.  First call/registration

        2.  Accompanying the customer

        3. Signing of the sales funeral service contract

   3.  CTS and PPA and or any unpaid accounts can not be transferred/assigned.  Only  paid accounts may be transferred or assigned
 Sellers caught doing this for them to gain money  or conspiring with office staff 
shall be blacklisted aside from possible prosecution

  4.  Sellers are entitled to commission if they have submitted or if PPA has been perfected and this includes data for insurance.  No PPA or docs, no commission

  4.  Sellers can not make fictitious sales nor sign for and in behalf of fictitious buyers  at the risk of being prosecuted and blacklisted.

  5.  Sellers are enjoined to be loyal to the company and threatening to sell for competitors is a sign of resignation..from further selling for the company

  6.  JV representatives are enjoined and prohibited from selling nor to conspire 
      with other sellers to get commission for them....  This does not provide 
      for level playing field and potential losses for the owners and developers

  6. The following are class D offense for sellers:

     1.  Non remittance of payment entrusted by Custoemrs aside from 
          being prosecuted under qualified theft or estafa-- 

     2.  Non submission of requirements PPA or insurance form;  no ppa, no
          commission

    3.  Conspiring with office staff for transfer of office sales for them to get
         commission.  Remember your w/t means you have to pay BIR correct
          taxes.

   4.  Past problems of lost PPA, and OR

    5. Sellers who committted crimes involving moral turpitude and or those involving the above  cant sell any or all of Holy  Gardens product

    We are all for the good. We believe in 10 commandments.  We are all good people

   5.  Operational excellence:

       1.  Shift to single touch system;  strict monitoring

       2.  Cash less payment:  via banks or GCash or Cebuana

      3.  Strict daily monitoring of inventories:

           1.  SBU sends collection letter

          2.  3f forfeits

          3.   Memo entries for forfeitures:

Operational Permit from DOH is no longer required for Memorial park and Cemeteries

Subject:   Operational Permit from DOH is no longer required for a Memorial Park since 2003.

A while back, you mentioned that CHO will visit the memorial park and are asking for operational permit from DOH.

It is no longer required since 2003;

4.  The Operational permit which was under Sanitation Code and Section 2 of their IRR is no longer required under Resolutin no 747 series of 2003. Therefore, do not be alarmed if DOH is looking for Operational Permit....  It is no longer required.

Negative leadership habits to leave behind by Francis Kong

Bad Leadership Culture in a declining organization

1.  Francis Kong a famous motivational and leadership guru, (Level Up Leadership) said that there are 6 phases in a project:  1.  Enthusiasm, 2.  Disillusionment, 3. Panic, 4.  Search for the guilty 5.  Punishment for the innocent and praise and honor for the non participants.  If that is the case, there are two possibilites:

     1.  You have lousy organization and that is because 
      2.   you have lousy leaders

and have such traits/practices as.

8.   Bragging and ego trip. 

     Good leaders stand behind the people and always say they did it. Bad ones
     always claim credit and always say" I know I know" Sila ang magaling at 
     bida.  It is good to bring out the best ideas from your people and let them
     keep doing that  that is if they are mature enough to care

9.  Full of excuses

     Always a victim of circumstances.  Have always someone to blame for his
     his own inability to execute and deliver.

     Can a leader be reached for a problem or his phone just keeps on ringing or
     is off many times.   

    Or does he train his staff, before asking for performance or results

10.  Living in the past

     Bragging about past successes. Those were the days my friend and failing
     to face reality of the market and competition or even the  people on board.
     We are only as good as our yesterdays performance. We have to prove
     ourselves on a daily basis whether we can deliver.

11.  Ungrateful

     Me me and living in a culture of entitlement.  Always seeking for rewards 
     which sometimes he does not deserve... A good leader always says thank
     you and happy with what he has or has received.  

12.  Favoritism.

      Hiring on the basis of good feelings rather than what a person can do or deliver. Meritocracy should be the key word.  Hire on the basis on what he can for the organization.   Or judge staff on the  basis of their performance and not on the basis of boot or ass licking .  There is no better way to sap the strength of the organization on this basis.   

People and technical skills of a leader need to be developed.  And for this we need more and more training....

Good leadership practices from Francis Kong - Getting Along with People

How do you get along with people? Well, listen to this story:

2 people had adjoining farms, one raised wheat and had children and large dogs. The other raised sheep.

The sheep farmer was in a quandary because the dogs next door were running into his pastures and frightening the sheep. He spoke to his neighbor but the invasions continued. He thought about taking the neighbor to court. He even thought about poisoning the dogs. Then one day he found a solution.

Some new lambs were born and the sheep farmer gave each of his neighbor's children a lamb as a pet. They were delighted! Because of the pet lambs, the father could no longer let the dogs run amok. He restrained them and taught them to leave the lambs and sheep alone… And everybody lived happily ever after.

That tiny little powerful booklet named Bit and Pieces offers: Ten suggestions for getting along better with people. Listen to this:

1.) Guard your tongue. Say less than you think. I am a public speaker but I need to be silent when it comes to this.

2.) Make promises sparingly. But keep them faithfully.

3.) Never let an opportunity pass to say a kind word. This can be developed as a habit over time.

4.) Be interested in others, their pursuits, work and family. In other words, be human and be sensitive to others.

5.) Be cheerful. Don't dwell on minor aches and small disappointments. Some people brighten up the room by leaving it. Don't be one of these.

6.) Keep an open mind. Discuss but don't argue. Disagree without being disagreeable. You'll know you have a great personality when people disagree with you yet continue to like you.

7.) Discourage gossip. It is destructive. Never talk bad against anyone behind his or her back. This is an act of cowardice you know.

8.) Be careful of other's feelings.

9.) Pay no attention to ill-natured remarks about you. Live in such a way that nobody will believe them. Even if you fee like getting even… don't.

10.) Don't be anxious about getting credit. Just do your best and be patient.

Well these are 10 suggestions for getting along with people and take note of this. Every single suggestion presented above comes right out of the bible.

Following them and applying them to our daily lives not only in the work place but in the homes as well gives us the principles on how to get along with people.

Good leaders know how important it is to develop good people skills.

Somebody says: Life is easy; it's the people who make it difficult!

But leadership is above all things dealing with people.

Follow the advices given today and these 3 things will happen:

First you'll discover that people will like you more.

Second, you'll discover that you'll like people better.

Third, you'll discover that you'll like yourself as well.

Not that not everyone will like you. Not everyone will like me. I know this very well. Whether the sentiment is justified or not is not the point. One thing I have discovered in life is that I may not be able to control everyone but if there is one person I can control it's got to be me.

The Bible commands that we are to be at peace with everyone to the best of our ability. This is what I want to do and even if some people don't….I still do.

This AGREEMENT entered to by and between

    Iloilo Lands Inc, a corporation organized and subsisting under Philippine Laws, (Oton/La Union )with offices at Zulueta St herein represented by ________________, __________________title hereinafter known as the COMPANY

                                                          and

 ______________________________________with offices represented by  _____________________hereinafter known as  the MORTUARY.

WITNESSETH:

1.  The COMPANY is in the business of  selling  at need and pre need memorial services to new and exisiting customerswhich include but not limited to plots interment  and  funeral and chapel services;

2. Whereas the Mortuary has been offering  various funeral services to its  customers at Oton  since ________

3. Whereas the company has been in the  memorial park business in Oton since _________


4. Whereas it is to best advantage of both the parties to join forces together and to form partnership which will assure
 increase sales and more customer satisffaction for being a one stop shop offering memorial services

               3.  sold at need and pre need;
               4.  included in its Privilege offer to senior citizen  and

    2.  The pricing of the mortuary to the Company

        1.   Metal casket:         P30,000

        2.   Senior Metal Flat     50,000

        3.   Senior Metal casket plexi    P75,000

            This price includes:

           1.  Embalming for 7 days
           2.  Pick up for first call using their hearse or pick up 
                vehicle; free within 25 km radius, in excess, P__/km
           3. Home viewing for 3 nights 4 days
           4.  Funeral proper,   church service  interment proper
           5.  Flowers
           6. Use of funeral equipment:   lights, notification board
              Mass Card

   3.  Pricing by the company

     The pricing of  the company shall be adjusted to cope up
     conform to its current offering and  product and service
     offering  as authorized by the govt regulators regarding
     pre need products.

 4.  Enhancement of services:

    The company may provide additional services to enhance
     the package:

    1.  Tarpaulin:  announcement and appreciation
    2.  Dove release
    3. Tribute
    4. Obits on line
    5. More flowers
    6.  More food

5.  Payments:

        1.  Company shall pay the mortuary within __days after rendering of service;

        2.  Requirements:

             1. Mortuary contract (which the company shall execute prior to the servicing
            2.  Conformity by the family of the decease

6. Other terms and condition

    1.  Representation and warranties:

                1.  Mortuary has been in business for _____

               2.   It has the equipment and expertise to carry its
                     business

              3.   That it is duly licensed by MHO and employs
                    trained and licensed embalmers, drivers 
                    and attendants.

   2.  That the mortuary under this agreement shall not undersell
        nor poach the  customer of the company

   3.  That the mortuary promises to conform to its code of Business Ethics, and Code of Conduct and Discipline and therefore to conduct itself in dealing with the company and customers at the highest order...

   4.  That the mortuary when doing this business shall allow Holy Gardens to promote its brand to the exclusion of the mortuary.

    Both parties shall benefit from this agreement for additional businesses:

    1   Marketing and sales:

         The company shall allow after due procedure to become a sales manager for the company, and shall pay up to 45% of monthly amortization principal  to the mortuary;

        At its instance the Company shalll recommend the Mortuary to sell memorial park plots for which Holy Gardens may pay a maximum of 10%T com.

       On the other hand, the com;pany may refer the mortuary to its customer who may buy at need and the Com;any and/or Holy Gardens shall be entitled to 10T% commission.

      For use of chapel, at the memorial park, the Mortuary shall be entitled to up to 20% discount, in no case however shall additional pwd or SC discount be given further

9  Exit and termination -   The contract may be terminated in writing by either  party in writing and with mutual consent.  In no case however shall the termination be made in the peak of business or in the middle of a
service.

10.  Venue -  venue of any legal action shall be in courts of Angono Rizal or Binangonan.  However, both parties shall strive to maintain long business relationship and resort only to arbitration as final remedy
