Reemphasizing Communications

Objectives:

      1.  To have shared learning

      2.  To reach sales, collection and inventory goals

      3.  To get things done

Reality/background:

1.  In the communication exercise conducted, the lot owner became the undertaker,  the authorized individual became the deceased, the time for interment was missed.  It is going to be disaster as often is.

2.  Many do not answer email text messages;

3.  Thus we have many missed/misunderstood directives, order;  and therefore sales and collection targets are not met.

4.  If there is no communication, there is no action or wrong action resulting in non achievement of results;   when there are no or poor results, we lose the trust of JV partner and customers/public.  When the trust is lost, we destroy relationship.  When we destroy relationship, we destroy the business

WTDN

1.  Comply with communication imperatives:

     1.  Practice FAR (Focus Attention Reverence)   listen well and savor every word being spoken.  As if the speaker never repeats

     2.  Take down notes and differentiate the chaff from the grain;

     3.  Read and respond to text messages and emails

     4.  Post Kaizen and Bests pictures so that 3f jm know what SBUs are doing

     5.  Comment on blog posts so that your understanding is gauged accordingly

2.  Go direct to the person who will implement but have a witness

3.  Have everything written down:   text messages, minutes, PDCA just to make
     sure that what was discussed is the same thing we want to be understood

4.  ABE (Follow through) ulit ulitin pinag usapan until people get it.

5.  On the part of the receiver:

     1.  Practice Sunnao

     2.  Obey and learn

     3.  Improve yourself as you receive learn from the communications

Remember:

1. We are in this together;

2.  We are a team, we are not adversaries.

3.  Failure will bark at our door when we fail to implement properly

4. Working together (arising from unity and teamwork) is success

Communications (again) Clarification

This site is a communication site.  It is place where we enhance our understanding and unity.  We still
have a long way to go towards developing strong communication

PAGSASANAY SA TAGUMPAY For kaizen reports: You must post pictures under this template duly classified. Answer and provide pictures for all headings. COMPLY AND UNDERSTAND. 1. Pics of office (storage, files)/chapel, cr. Also post pictures of your staff in complete uniform daily with id for am talk) STRICT COMPLIANCE 2. Pics of site (the park) beautification/construction 3. Pics of warehouse inside and outside; SHOW INVENTORIES AND LOCKS 4. Pics of inventory of equipment (especially of those non operating) and materials 5. Pics of operational equipment

Explanation:

1.  The heads lead the tails;  those who are in charge:  leaders and managers can lead their staff through communication;

2.  Communication is the only tool that managers and leaders can get their people to:

            1.  Be motivated, ie improve morale
            2.  To act;  move
            3.  Achieve results

3.  Unlike other workers, the knowledge (office workers) has only communication as the sole tool
     and resources to get others to act

4.  Thus like in story about Jesus heals the Roman Centurion servant, is only the order, the communication from the superior that will get subordinates follow;   Jesus heals the sick through words.

5.

                                     COMMUNICATION    ------->   Action    ---->  Results

                                                                                              |
                                                                                         TRUST
                                                                                              |
                                                                                     RELATIONSHIP
                                                                                              |
                                                                                         BUSINESS

                                            There could be no business unless there is a relationship that
                                             is earned from trust that comes from action and results.

6.    We can get peoples understanding if we have shared learning, and common mindset.  Our reception to communication is shaped by past experience and mutual understanding.   Thus we
exert a lot of efforts to say:

                              Bawal ang following words:   (from the Employees Handbook)

                          Be careful of your words, they become your action….
1. Akala ko                                                 7.  Yun nga po…..
2. Mahirap                                                 8.  Hindi ko po alam
3. Bale                                                        9.  Nadatnan ko na
4. Trabaho yan ni…..                              10.  Ano…
5. Mamaya na/ Bukas na…..                 11. Hopefully....
6. Bahala na                                            12.  Ok po...

     Yesterday in a span of 2 hours, 1 and 9 were repeated in text messages.   If people cant understand simple text messages, then they cant understand complex instructions.   If we fail in simple things, the more we can fail in difficult things.  Start small.

    In the communications exercise held, the authorized representative became the deceased, the time of interment was missed, the lot location was abstracted; exposing us to harm and lawsuit

      Let us practice  FAR:  Focus, Attention and Reverence.

      Also:

      1.  In writing;
      2.  Avoid hearsays
      3.  Always ask for confirmation through memo, email that we got this right.

Thank you Ms. AB. While the emphasis of the presentation especially of the  N Nice and Clean Appearance should refer to the service, the product:  landscaping, cleanliness of park and CR (the presentation focused on the appearance of the employees) the ppt made a glaring declaration of
our deficiency:

1.  On safety:

       1.  Knowledge of using the fire extinguisher

       2.  A fire drill

       3.  The safety latch lock for the front door (we could be held up)

       4  CCTV installation

       5.  First aid kit

       6.  Uniform (why are people wearing dark colored dress)  Why are people dressing informally

       7.  Hard hat, safety shoes, goggles, gloves  to be worn while:   brush cutting, transport of vault.

            IS THIS BEING OBSERVED?   Where are these equipment which were bought from Ace Hardware
            during the last conference for TS and GT?

2. Health care: and others   (free physical exams, and hospitalization)

    Retirement pay:  22.5 days for every year of service for those who served for at least 5 years and is 60 years old
                               is mandatory as provided for by RA 7641

      1.  We had instructions to look into this but prior requirement ie that of determining our GP NI has not been done.

3.  Outputs

     1. Why do people do not submit reports? Why are sbus tolerated for non submission of reports?
         Why do we have officers allowing this to happen?  Even well paid ones.

4.  Delivery:

    1.  Bakit delayed documents

    2.  Bakit document problems remain unsolvefd.

PLEASE REFLECT ON THIS.  CAN WE BE CALLED AN EXCELLENT COMPANY?   ARE WE A GREAT DISCIPLINED COMPANY

WHAT MUST WE DO?

Starting a Quality Revolution (SIRVIC) powerpoint

TO       :   Ms. Mary Ann Garcia

Thank you for this presentation.  I can see that you exerted a lot of efforts to convince yourself, and 3ffb staff about STARTING A QUALITY REVO-
LUTION.  Will they read and implement this presentation.  Exercise leadership

THIS PRESENTATION EXPLAIN MANY WHYS:

1.  You are requested/compelled to come early, submit your work early   START AND FINISH EVERYTHING ON TIME
      Leadership, THE HEAD LEADS THE TAILS MUST SET GOOD EXAMPLE

2.  Why we need CLAY GO (Clean as  you go)   VISIBLE SIGNS OF QUALITY

     1. Clean our utensils after we eat;

     2.  Have clean, splatter free toilets

     3.  Dust the tables and computers  before starting to work

     4.  Empty the trash can

     5.  File properly

     BULLETIN BOARD

     LABELLING OF FILES FILING CABS, HAVING TICKLERS/ADDRESSES

3.  WHY WE NEED TO MEET INTERNATIONAL COMPETITIVE STANDARDS (Because our customers are from here and abroad
     and many of our customers have  come from abroad)

4.   AVOID REWORKS:  do work right the first time;  by understanding what is being taught, and reading well the documents
      and literature.  BY OBEYING.   (Is this happening?)

5.  MEETING CUSTOMERS AND ATTENDING TO THEIR NEEDS IS A PRIORITY;  why we cant delay our  actions

CAN WE START THE REVOLUTION?

Our 3f jm AM talk topic:

Jesus Heals Roman Centurion Servant:  From Bible Gateway: Luke 7:1 -10

Lesson from the Healing of Roman Centurion servant

Commentary on Jesus Christ healing of the Roman Centurion servant

This is a lesson on faith, obedience to people in authority in an organization.  The Roman Centurion who is in charge of 100 people are obeyed by his subordinate, just by one word.  Words are powerful, are tools of executive.  Jesus Christ the Supreme Head of the Church is more powerful than the Roman Centurion.  He just have to say the word, and his servant shall be healed.

Do we believe in Holy Gardens?

Do we obey our superiors?  Do obey its handbooks and processes?  I hope you do.
